CRM: leads, venues, deals, tasks
Where a site goes from a phone number to a signed placement.
6 minute read
Operator X has four CRM objects and they are deliberately boring. A lead is a person you might place a machine with. A venue is a site that holds machines and gets paid. A deal is the placement moving through stages. A task is the visit or call you owe someone.
- Leads — everyone worth calling
A lead needs a name or a company, nothing more. Inbound enquiries from kiosk-x.ai arrive unclaimed: they sit in the claim inbox until an operator takes one, and the first claim wins. Once claimed, the lead is yours and no other operator can see it.
Open Leads → - Venues — the site and the money deal
This is the only place a host's pay is defined. Put the machine serial here. If a site holds two machines, list both serials on the one venue so the host gets a single pooled statement instead of two.
Open Venues → - Deals — the placement pipeline
Ten stages, from pre-ordered through shortlisting, outreach, lease sent, signed, shipped, installing, to live. Autopilot and Location Scout write into these same stages, so an agent-run placement and a hand-run one look identical on the board.
Open Deals → - Tasks — the physical work
Site visits, installs, follow-ups. Open, doing, done. Autopilot files a task here when it needs a human, for example when a serial it wants to place is still on another host's venue.

Operator X is the CRM. There is no separate login, no sync to babysit, and records from our other products never appear on your board — every record is stamped to your account and to the vending app.
Can I model a deal before the machine ships?
Yes, and it is safe. A venue with no serial on it accrues nothing, so you can write down the percentage you are offering and still owe the host nothing until a machine is actually placed.
Someone else claimed a lead I wanted.
Claims are first come, first served and cannot be reversed from the inbox. Ask the other operator to hand it over, or create your own lead for that contact.
Where do Scout and Autopilot results go?
Straight onto these boards. Arming outreach on a Scout candidate creates the lead, the venue and the deal in one move, and advancing an Autopilot stage updates the deal here.
